This Privacy Statement explains how Smart ERP Soft Inc., operating the ArchiveHub website (“ArchiveHub,” “we,” “us,” or “our”), handles personal information when you visit archivehub.io, request a demonstration or assessment, submit a partner inquiry, or otherwise contact us.
Information we collect
Information you choose to provide
You may provide personal information when you contact us or prepare an email through the website. This may include your name, business email address, company, source application, transformation objective, desired timeline, historical-access requirements, demo interests, partnership interests, relevant business capabilities, and anything else you choose to include in your message.
The assessment, demo, and partner forms submit the information you provide securely to ArchiveHub. We store the submission with a reference number so our team can evaluate and respond to it. Please do not include confidential customer data, credentials, regulated records, or sensitive personal information in an initial inquiry.
Technical information
When you visit the website, our hosting and security providers may process technical information needed to deliver and protect it. This can include your IP address, browser and device information, requested pages, referring page, date and time, and security or diagnostic events.
Cookies, analytics and external resources
The current website does not use advertising cookies, marketing pixels, or a website analytics service. It uses Cloudflare Turnstile to distinguish legitimate submissions from abusive automated traffic and stores form submissions in Cloudflare D1. It also loads web fonts from Google Fonts; that request may disclose technical information such as your IP address and browser information to Google. Cloudflare provides website hosting, content delivery, security, form verification, and data storage services and may process request and security logs for those purposes. Their handling of information is also governed by their respective privacy terms.
If we later introduce analytics, marketing cookies, embedded media, an online form processor, customer accounts, or another materially different collection method, we will update this statement and provide any consent controls required by applicable law.
How we use personal information
We may use personal information to:
- respond to inquiries and arrange demonstrations, assessments, partner discussions, or follow-up conversations;
- understand a prospective customer’s business requirements;
- operate, secure, troubleshoot, and improve the website and our communications;
- manage customer and business relationships;
- protect our rights, systems, users, and organization; and
- meet legal, regulatory, accounting, and compliance obligations.
Where applicable law requires a legal basis, we rely on consent, steps requested before entering a contract, performance of a contract, compliance with legal obligations, or our legitimate interests in operating, securing, and developing our business, as appropriate to the circumstances.
How we disclose personal information
We do not sell personal information. We may disclose it:
- to service providers that support website hosting, security, email, and business operations, subject to appropriate contractual or legal obligations;
- when required by law, legal process, or a valid request from a public authority;
- when reasonably necessary to protect rights, safety, systems, or property; or
- as part of a proposed or completed financing, merger, acquisition, restructuring, or sale of assets, subject to appropriate safeguards.
We do not share inquiry information with third parties so they can independently market their products or services to you.
International processing
ArchiveHub and its service providers may process information in Canada, the United States, or other countries. Privacy laws in those locations may differ from those where you live. Where required, we use appropriate measures for international transfers.
Retention
We retain personal information only for as long as reasonably necessary for the purposes described above, including follow-up on business inquiries, relationship management, security, dispute resolution, and legal or accounting requirements. Retention depends on the nature of the information, the relationship, and applicable obligations. We then delete, anonymize, or securely dispose of it as appropriate.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of Internet transmission or electronic storage is completely secure, so we cannot guarantee absolute security. Please do not include confidential customer data, credentials, regulated records, or sensitive personal information in an initial website inquiry.
Your choices and rights
Depending on where you live and subject to legal exceptions, you may have rights to request access to or correction of your personal information, ask for deletion, withdraw consent, object to or restrict certain processing, or receive information about how it has been used or disclosed. You may also have the right to complain to a privacy regulator.
To make a request, contact us using the address below. We may need to verify your identity before completing it. Withdrawing consent does not affect processing that was lawful before withdrawal.
Children’s privacy
The website is intended for business users and is not directed to children. We do not knowingly collect personal information from children through the website.
Third-party websites
The website links to third-party websites and documentation. We do not control those sites or their privacy practices. Review the privacy information provided by a third party before giving it personal information.
Changes to this statement
We may update this Privacy Statement to reflect changes in our practices, services, or legal obligations. We will post the revised statement here and change the “Last updated” date. Material changes may be communicated in another appropriate way where required.
