Retiring PeopleSoft Financials means preserving agreed historical records and usable access before removing the source application dependency. For this scenario, prioritise ChartFields, voucher relationships and business-unit context. Compare required reports and documents with source evidence, test permissions and obtain business acceptance before scheduling shutdown.
This guide covers the retirement questions, a mock-data ArchiveHub demonstration and the validation work needed to define a project scope.
What a dormant PeopleSoft environment costs
Cost categories are a discovery checklist, not a guaranteed savings calculation. Verify support status, deployment, shared infrastructure and contract terms for the actual installation.
- A full PeopleTools stack: the database (often Oracle, sometimes SQL Server or DB2), the application server and Process Scheduler domains, the web server, and the PeopleTools and application patching that keeps them supportable.
- Database licences and DBA effort on a system sized for its busiest close, not for occasional lookups.
- Security and compliance work: role and permission list reviews, operating system patching, and audit findings about an unsupported or lightly maintained platform.
- People who know where things are. Answering "show me every journal that hit this fund and department in 2019" means knowing the ChartFields, the ledger names, the journal status codes and which component or query to use. The analysts and developers who knew are moving on.
- Reporting tooling such as PS/nVision layouts and public queries, which nobody wants to maintain for a system that no longer changes.
Scope, versions and evidence
This is an illustrative workflow, not a customer case study. Confirm the source release, deployment, modules, customisations and extraction permissions before using the mappings below. Tables and report labels describe the demonstration catalogue; native-report equivalence has not been independently certified. Use agreed source reports and representative records for acceptance testing.
An archive is not a replacement for every operational feature of the retired ERP. Document required historical tasks, excluded functions and any archive-derived calculations.
Historical data to scope for PeopleSoft Financials
ArchiveHub keeps the PeopleSoft record structure, with PS_ table names and PeopleSoft field names, so a journal is still identified by BUSINESS_UNIT, JOURNAL_ID and JOURNAL_DATE and an account is still the ACCOUNT ChartField.
General Ledger. PS_JRNL_HEADER and PS_JRNL_LN for every journal line, PS_LEDGER for balances by account, department, fiscal year and accounting period, PS_GL_ACCOUNT_TBL and PS_DEPT_TBL for the ChartField values.
Commitment Control. PS_LEDGER_KK for the budget, expense and encumbrance ledgers; PS_KK_BUDGET_HDR and PS_KK_BUDGET_LN for budget journals.
Payables. PS_VOUCHER, PS_VOUCHER_LINE and PS_DISTRIB_LINE for vouchers and their ChartField distributions, PS_PYMNT_VCHR_XREF and PS_PAYMENT_TBL for payments, PS_VENDOR and PS_VENDOR_ADDR for suppliers.
Receivables. PS_ITEM, PS_ITEM_ACTIVITY and PS_ITEM_DST for customer items, their activity and their GL distribution; PS_DEPOSIT_CONTROL and PS_PAYMENT for deposits and payments; PS_CUSTOMER and PS_CUST_ADDRESS.
Purchasing and procurement contracts. PS_PO_HDR, PS_PO_LINE, PS_PO_LINE_SHIP and PS_PO_LINE_DISTRIB; PS_RECV_HDR and PS_RECV_LN_SHIP; PS_CNTRCT_HDR and PS_CNTRCT_LINE; PS_MASTER_ITEM_TBL and PS_ITM_CAT_TBL.
Asset Management. PS_ASSET, PS_BOOK, PS_COST, PS_DEPRECIATION, PS_RETIREMENT, PS_ASSET_LOCATION and PS_DIST_LN, with PS_CATEGORY_TBL defaults.
Expenses, Project Costing, Banking. PS_EX_SHEET_HDR, PS_EX_SHEET_LINE, PS_EX_SHEET_PYMNT and PS_EX_ADV_HDR; PS_PROJECT, PS_PROJ_ACTIVITY and PS_PROJ_RESOURCE; PS_BANK_STMT_TBL with PS_BANK_ACCT_DEFN.
Payroll and HCM. PS_PAY_CHECK, PS_PAY_EARNINGS, PS_PAY_OTH_EARNS, PS_PAY_TAX and PS_PAY_DEDUCTION; PS_JOB, PS_PERSONAL_DATA, PS_EMPLOYEES and PS_JOBCODE_TBL. Effective-dated records keep their EFFDT and EFFSEQ, so the history of a job or a customer address is still history, not just the current row.
Fields keep their PeopleSoft names with descriptions, which makes the ad-hoc query builder feel familiar to anyone who wrote PS Query or SQR.
SetIDs and business units are preserved, so a shared vendor or customer still resolves correctly for each business unit that used it. Journals keep their source and process instance, vouchers keep their distribution lines down to the ChartField combination, and Receivables items keep their full activity history, so the trail from a ledger balance to the transaction behind it can still be followed step by step.

Source documents stay attached
Document types below illustrate the intended scope. Include source attachments and external repositories explicitly, and test retrieval and record linkage before decommissioning.
Archived vouchers keep their supplier invoice images, and Receivables items keep the invoices sent to customers. Purchase orders, procurement contracts, expense reports with their receipts, assets, projects, customers and employees carry their documents as well. A grant auditor who asks for the invoice behind a voucher line gets it from the archived voucher.
Beyond the reports
Confirm these capabilities, configuration requirements and limits during the demonstration and scope review; the report catalogue alone does not validate them.
- Ad-hoc query builder across the configured archived records, with PeopleSoft field descriptions and suggested joins (PS_JRNL_LN to PS_JRNL_HEADER, PS_DISTRIB_LINE to PS_VOUCHER, PS_ITEM to PS_CUSTOMER).
- Retention rules and purge with approval, so different record types can follow different schedules, and nothing goes without sign-off.
- Legal hold, for litigation, investigations and records requests.
- Personal-data governance: agree the lawful retention, access and deletion requirements with the responsible privacy and records teams. Product features alone do not establish regulatory compliance.
- Access controls: define and test permissions for the required companies, records and sensitive fields. Do not assume that system-level roles reproduce the original ERP permissions, particularly for payroll and HR data.
- OData feeds to Excel, Power BI and SAP Analytics Cloud.
How the decommissioning project runs
- Extract the PS_ records with their keys, effective dates and field descriptions.
- Validate row counts per record, then tie out the balances: PS_LEDGER against the sum of posted PS_JRNL_LN, Payables and Receivables against their control accounts, asset cost and depreciation against the GL, payroll totals against the payroll expense postings, and the trial balance per business unit and period.
- Parallel read access for finance, grants, audit and HR users while PeopleSoft is still up.
- Retire after acceptance. Obtain documented sign-off for data reconciliation, document retrieval, user access, retention and legal holds, recovery and remaining integrations. Retire only the approved components; shared infrastructure may still be needed. End or reduce subscriptions, licences and support only where the contract permits. Budget for archive operation and any residual costs.

Questions about PeopleSoft Financials retirement
Why do ChartFields and SetIDs matter after retirement?
Historical amounts need organisational and accounting context. Preserve the definitions and relationships used by the selected implementation, and test that users can interpret records across business units.
Are payroll records automatically included in Financials retirement?
No. Identify any HCM or payroll source separately, including permissions and retention requirements. Do not infer payroll coverage from a Financials demonstration or a shared product name.
What does this ArchiveHub demonstration prove?
The screenshots illustrate how selected records can be presented using mock data. They do not prove production completeness, customer outcomes or parity with every PeopleSoft Financials report. Request a demonstration against your own approved scope and acceptance cases.
